How to Make a Receipt for a Customer
A receipt is proof that a customer paid you. Whether you hand it over on the spot or send it after the job, a clear receipt takes the guesswork out of “did I pay for that?” for both of you.
What a receipt is
A receipt confirms that a payment happened — who paid, how much, for what, and when. It is not a request for money; the money has already changed hands.
When a receipt is useful
- After a customer pays cash, card, or transfer for a job or product
- When a customer asks for proof of payment, for example for insurance or reimbursement
- To keep your own record of completed transactions
- After you accept a deposit or partial payment, so both sides agree on what has been paid so far
What to put on a receipt
A useful receipt normally includes:
- Business name and contact details
- Customer name
- Receipt number, if you use one
- Payment date
- Description of what was paid for
- Amount paid
- Payment method — cash, card, transfer, or check
- Payment status — paid in full, deposit, or partial

Receipt vs. invoice

- Business name and contact info are correct
- Customer name is spelled correctly
- The amount matches what was actually paid
- Payment method is noted
- Status says paid, not due or pending
